REDCap

This guide is meant to provide basic information and access to resources on REDCap, a HIPAA compliant, MCIT secured data collection tool available for free at NYU Langone and many other medical institutions.

How to access REDCap

Where to start

REDCap is a website application. A website browser (such as Chrome, Safari or Firefox) is required to manage REDCap projects and data. REDCap software is optimized for use with handheld devices, and this helps with navigation and data entry on smaller screens such as an iPad or mobile phone. For online training, please view the REDCap FOCUS training provided by the Health Sciences Library, REDCap: Essential Skills for Building Databases and Running Projects eCourse.

  • REDCap Designer - Launching in summer 2025, this website application is where every new project begins in Development status. Each project must go through development and testing in REDCap Designer before real data entry begins in Production status.
  • REDCap - a Production website application is intended to be used for the data capture projects associated with an IRB-reviewed research study.

  • Open REDCap - the “open” website is a Production application made available for Research departments with operational projects that don't fit the traditional data capture needs of an IRB-reviewed research study.

  • REDCap Mobile App - this app can be summarized as “Offline Data Entry”. This mobile app is designed for research study teams gathering data in remote areas of the globe without reliable internet connectivity. A research study team member is the intended user of the Mobile App. This allows a researcher to collect data offline, in the field, and later sync the data to a REDCap server when they return to research headquarters. This app uses an insecure method of data collection and is not widely used at NYU Langone.

  • MyCap - This mobile application is best described as "Patient-facing REDCap". The app is designed for research study participants to easily respond to survey questions from their personal phone. The ideal use case for MyCap is a research study with frequent surveys, such as diary entries, where data is entered multiple time per day/week.

How to start

Start with your login to one of our REDCap websites. For login, you are required to have an NYU Langone institutional Kerberos ID and two-factor authentication using DUO.

Before entering an MCIT ticket, please look for answers to your login questions on our REDCap FAQ page. This is a great place to start if you are new to REDCap. You will find answers to frequently asked questions, such as: how to log in, where to log in, how to change your password, and how to manage user access to your project.

In addition to our REDCap FAQ page, we have a range of resources to help you get started with REDCap. These resources include video tutorials, training materials, and best practices. We believe that these resources are essential to helping you get the most out of REDCap and ensuring that your research is a success.

Finally, we also offer Data Management Services via DataCore. This service is designed for users who prefer to have their REDCap project built for them. Our experienced team of professionals will work with you to design and build a custom REDCap project tailored to your specific needs.

What to do next

We want to hear from you. Please open a Service Request for REDCap if these REDCap portal web pages are missing crucial details to help you get started and to keep you working smoothly.

REDCap, EHR Data and Data Pulls

To access EHR data for research purposes, once you have IRB approval, please contact DataCore on the MCIT Support and Services page. From the MCIT Service page, search for DataCore, open the resulting form and indicate your role as MCIT End User Service Catalog. Please be aware that you will likely need a staff member with data analysis and database expertise to effectively work with EHR data.
